About the role:

Join our vibrant Catholic co-educational school as Executive Assistant to the Head of Junior School. This pivotal role combines high-level administrative and interpersonal skills with leadership responsibility, guiding a small team of support staff. Engage with students, staff, and families across our school community while contributing to a positive, professional, and collaborative environment.

This Grade 5 position works fulltime Monday to Friday across 45 weeks of the school year.

Key responsibilities include:

  • The Executive Assistant to the Head of Junior School supports the Head of Junior School in ensuring the efficient operation of the office and provides high-level secretarial and administrative assistance.
  • Serve as the team leader for the Junior School administration team, providing direction, support and coordination to ensure efficient and collaborative daily operations.
  • Support the Head of Junior School in the function of that role.
  • Maintain the Head of Junior School’s calendar and manage appointments on their behalf.
  • Respond to, triage or redirect incoming email correspondence or requests.
  • Provide confidential support to management and personnel including work of a highly confidential and sensitive nature.

Professional requirements include:

  • A Diploma in Administration or Business (or equivalent) and/or relevant demonstrated knowledge and experience in a comparable role.
  • Specialised knowledge and demonstrated experience with complex administrative procedures and processes and proficient use of a range of computer skills.
  • Demonstrated experience in undertaking extensive research and the development of polices and strategies for the successful operation of the school
  • An understanding and ability to demonstrate practical support of the ethos of the Jesuit Education surrounding Saint Ignatius' College
  • High level interpersonal skills to interact positively with the school community.
  • Excellent written and verbal communication skills to work collaboratively within a team environment.
  • Ability to work under minimal direction, be self-directed and always utilise discretion and judgement unless directed by senior Leadership.
  • Excellent time management and highly developed organisational skills.
  • Demonstrated ability to deal effectively with unexpected situations.
  • Advanced MS Word and PowerPoint and intermediate Excel are essential.

Desirable Characteristics:

  • Experience working in a similar role in a school.
