The Opportunity

We are seeking a highly motivated individual for a dual-role opportunity, combining the responsibilities of a Work, Health & Safety Coordinator (WHS) and an Office Administrator. In the WHS Coordinator capacity, the role involves providing a responsive and professional service, focusing on planning, design and administration of WHS and Return to Work. Alongside this, the Office Administrator duties require handling advance administrative tasks, project work, and providing efficient, customer-focused service to ensure the smooth administrative operation of the School, maintain a professional, responsive frontline presence at all time.

This position is a part-time contracted position, commencing 21 July 2025.

Hours of work are Monday -Friday, 8:15am-4pm

Key Responsibilities – Work, Health & Safety Coordinator:

  • Undertake responsibility for WHS and RTW activities within the school where an advanced level of specialised knowledge is required within the context of the legislative requirements applicable to the role.
  • Ensure currency of requirements and undertake timely WHS inductions for staff, contractors, and volunteers to enable safe use of designated places, materials and equipment within the school.
  • Ensure that contractors attending the school have required clearances, licenses and insurance for the work they are undertaking and maintain records as applicable.
  • In conjunction with school leaders, undertake WHS risk assessments, audits and inspections on a regular basis, document outcomes, and draft correspondence and communications (for authorisation by others) to ensure WHS legislative requirements are effectively met.
  • Promote and encourage all staff to be pro-active in the implementation of early interventions systems and reporting of incidents.

Key Responsibilities – Administration:

  • Serve as the first point of contact for all visitors and callers, providing a warm and professional welcome that reflects the school’s mission and values.
  • Provide a complete professional administrative service to school leaders including routine organisational activities (calendar management, scheduling meetings etc), work of a highly confidential and sensitive nature, recruitment activities (listing positions, arranging interviews etc) and meeting support (preparing Agendas, taking notes, follow-up actions etc).
  • Maintain employee records effectively and apply knowledge of CESA and school policies and procedures to provide accurate advice to other employees as appropriate to the role requirements.
  • As applicable, undertake the full scope of Registrar administrative duties including data management, arranging meetings/events/functions for prospective/new families/school tours/orientation days, etc.
  • Actively support organisation of and participate in school events/activities, meetings, required training and professional reviews.

About You

  • Diploma studies comprising one year of study in Work, Health & Safety, Administration, Marketing or Business (or equivalent) and/or relevant demonstrated knowledge and experience in a comparable role.
  • Demonstrated knowledge of WHS and RTW legislation and policies to ensure compliance within the school is achieved at all times.
  • Demonstrated experience in providing a high level of specialised administrative tasks and applying a broad knowledge base incorporating theoretical concepts with substantial depth in areas of responsibility.
  • Excellent interpersonal and communication (written and verbal) skills for positive engagement, role modelling, interaction and collaboration within the team, broader school community and with external parties. Experience in supervising others to achieve group outcomes is expected.
  • Excellent proficiency in using a computer and applicable programs specifically Microsoft Office (Word, Excel, Outlook), and the ability to operate a broad range of office and ICT equipment.

 

The successful candidates will be required to undergo our screening process, which includes a Working with Children Check, E-Screen, Applicant Declaration Form, First Aid and RRHAN.
